Step 1: Schedule a Medical Evaluation

You'll need to schedule an appointment with your primary care physician or specialist to discuss your mobility needs. During the visit, the doctor will evaluate your condition and determine if a power mobility device is medically necessary.

Tip: Make sure your doctor documents how your condition affects your ability to perform daily activities like bathing, dressing, cooking, or moving around the home. 

Documents MUST include:
  • Standard written order (prescription) for power mobility chair or scooter with appropriate diagnosis codes to support the order.
  • Signed encounter/clinical notes (letter of medical necessity) that support the discussion for a power mobility chair or scooter

Step 2: Obtain a Face-to-Face Mobility Evaluation

A face-to-face mobility evaluation is required by Medicare and most private insurance plans. This can be completed by a occupational therapist in collaboration with your doctor. 

Documents must include:
  • Medical necissity
  • Funtional limitations
  • Inability to use a cane, walker, or manual wheelchair
  • Justification for a power scooter vs. power chair
  • Best fit device based on your capabilities

Step 3: Home Assessment

At Dahl Medical Supply, we’re here to guide you through every step of the process when it comes to receiving a Medicare-covered power mobility device, such as a powerchair or scooter. After your face-to-face mobility evaluation with your healthcare provider and a written order is received, we’ll schedule a home assessment to ensure your living space is safe and suitable for the equipment.

This in-home evaluation, required by Medicare, allows our team to confirm that the mobility device can be used effectively within your home. We assess things like doorway widths, flooring types, turning radius, and overall accessibility — making sure you get the right equipment that fits both your medical needs and your environment. Our goal is to help you maintain your independence and mobility with comfort and confidence, all while meeting Medicare’s guidelines.

Step 4: Work with Dahl Medical Supply

Once you have your evaluation, our team will submit the necessary documentation to your insurance provider. This includes:
  • A detailed written order (DWO) from your physician
  • Mobility assessment & home assessment
  • Supporting medical records and evaluation notes
  • Manufacturer product info and pricing for the requested equipment

Step 5: Insurance Review & Prior Authorization

We submit the documentation to your insurance provider for prior authorization. The review process can take anywhere from a few days to several weeks, depending on you insurance.

Our team will follow up regularly to track the progress and provide updates.

Step 6: Billing & Coverage

We will handle the insurance billing process on your behalf, working directly with your provider to make things as smooth and stress-free as possible. Depending on your specific insurance plan and coverage, you may be responsible for a copayment, coinsurance, or deductible. Our team will take the time to clearly explain all potential out-of-pocket costs up front, so there are no surprises. Before we finalize the delivery of your equipment, you’ll have a full understanding of your financial responsibility and the coverage being applied. Step 7: Delivery & Setup

Once your power wheelchair or scooter has been approved, a member of our team at Dahl Medical Supply will reach out to schedule delivery and professional setup at a time that works best for you. During the appointment, we’ll ensure everything is properly adjusted, fully functional, and tailored to your comfort. We’ll also take the time to walk you through how to safely operate and maintain your new equipment, so you feel confident and supported from day one.
